Let Copilot Manage Your Calendar—Automatically

Copilot takes the busywork out of your calendar.

It can auto‑accept or decline meetings based on rules you set and clean up canceled invites, so your schedule stays tidy.

Just tell Copilot what you want—who the invite is from, keywords in the subject, time windows, or whether it should only act when your calendar is free. Review the suggestion, approve it, and you’re done.

You stay in control and can update or remove rules anytime.

Set it up in new Outlook or the Microsoft 365 Copilot app—and let Copilot handle the rest.

Why You Should Try it!

Why you’ll love it

Prompts to Try | Calendar Instructions

What You want Copilot to do What to say to Copilot Why this Helps You
Automatically accept important meetings "Automatically accept meeting invites from [NAME] and [NAME] if my calendar is free." Save time by saying yes to the meetings that matter—without double‑booking you.
Accept meetings based on the topic

“Accept meetings with [NAME], [PROJECT], or [CONTENT] in the subject—only during business hours and only if my calendar is free.”

Makes sure you don’t miss key meetings, while still protecting your schedule.

Decline low‑priority meetings

“Decline meetings with ‘FYI’, ‘Optional’, or ‘Training’ in the subject if they’re scheduled on Fridays.”

Reduces calendar noise so you can focus on higher‑value work.

Clean up canceled meetings

“Automatically remove canceled meetings from my calendar.”

Keeps your calendar accurate and clutter‑free with no effort from you.

 Protect focus or lunch time

“Decline all meetings scheduled between [TIME] unless they’re from [NAME]."

Helps protect personal or focus time, while still allowing important exceptions.

Avoid double‑bookings

“Automatically accept meetings from my manager or direct collaborators and decline all other meetings that overlap with existing appointments.

Prevents conflicts and makes meeting decisions consistent.

Gives you visibility and confidence—you’re always in control.

Makes Sense of Any FileNo Context Needed

Let Copilot Do the Work

Adding an Excel spreadsheet or Word document to Copilot Chat is like having someone quickly explain the file to you—no prep work required.

You don’t have to know the background or figure out what to ask first. Copilot automatically pulls out the important details, highlights what stands out, and helps you understand what you’re looking at right away.

This is especially useful when a document is new to you, overly complex, or something you haven’t touched in a while.

Instead of spending time trying to make sense of the content on your own, Copilot helps break it down in a way that makes sense to you, so you can move forward with confidence and focus on what to do next.

Meeting Recap

Get the Gist of any Meeting in Minutes—Now in Video.

Copilot can create a short, narrated highlight reel that stitches together the moments that matter most: key discussion clips, decisions, and next steps.

It’s the fastest way to catch up when you couldn’t attend (or when you don’t have time for the full recording)—especially handy for leaders and busy teams.

Now, when you ask Copilot Chat to summarize a meeting, you’ll get a video recap alongside the written recap.

Think of it as a narrated highlight reel: Copilot pairs the top takeaways with short, relevant clips so you can see and hear the key moments—without scrubbing through the full recording.

Note: Video recap is available in Copilot Chat and the Microsoft Clipchamp web player for meetings that are at least 10 minutes long with recording enabled.

How to Use Recap

  • In Copilot Chat, type Recap and then /. Your recorded meetings will appear—pick the meeting you want and select Send.
  • Copilot will generate a written summary with key highlights, decisions, and action items. Then scroll to the bottom of the recap to watch the short narrated video recap—a quick highlight reel with relevant clips, so you can catch up fast without watching the full recording.
